Sharing, printing & downloading reports

All help topics

Every report opens as a full page: the headline, the key figures, charts and tables, the written report, and where each figure came from. From that page you can share it with a link, print it, or save it as a PDF.

Open the full report

  1. Open the report from your reports list.
  2. Choose Open full report. It opens in a new tab.

The page shows, in order:

  • The headline and key insights, from the written report.
  • Before you read the figures: anything that changes how the numbers should be read, such as a platform with only a month or two of history, or an ad account that has not started spending.
  • Headline figures, each with its change and the figure it is compared with.
  • Charts and tables for the report type, such as revenue by channel, campaigns, search terms or best-selling products.
  • Recommended next steps.
  • The full written report.
  • Where these figures come from: each source, when it was last read, and how every figure is worked out.

A figure is only shown when it was measured. If a platform did not report something, it is left off the page rather than shown as zero, and a dash in a table means nothing was recorded.

Figures are fixed when the report is generated. They do not change afterwards, so a report you sent last month still reads the same today. Reports generated before this page existed open with the written report only.

A share link lets anyone read one report without signing in. Use it for a director, an investor or a colleague who has no login.

  1. Open the full report.
  2. Choose Share.
  3. Pick how long the link should work: 30 days, 90 days (the default) or No expiry.
  4. Choose Make link, then Copy link.

Copy the link when it appears. For safety the address is shown once and cannot be shown again. If you lose it, make another: a report can have several links at once.

  • That one report, and nothing else. The link does not open your dashboard, other reports or your account.
  • The page is marked so search engines do not list it.

A link is only as private as the places it is sent. Anyone it is forwarded to can open it, so treat the link like the report itself.

Open Share again. Links to this report lists every link with who made it, when it stops working, and how many times it has been opened. We count opens only. We do not record who opened it.

Open Share and choose Switch off beside the link. It stops working straight away, for everyone who has it. A link that has been switched off cannot be switched back on. Make a new one instead.

What happenedWhat the reader sees
The link reached its expiry date"This report link is no longer available"
The link was switched offThe same message
The report was taken off the dashboardThe same message, until the report is published again

The message is the same in every case and never says which report the link was for.

  1. Open the report from your reports list.
  2. Choose Download PDF. The report opens in a new tab with the print dialog.
  3. Choose Save as PDF as the printer, or print it.

You can also choose Print at the top of any full report, including one opened from a share link.

The printed report is laid out for paper: charts and tables are kept whole across pages, and the definition of every figure is printed at the end.

Who can share and download

  • The report must be published. A draft cannot be shared or downloaded by a client.
  • You need access to the account the report belongs to.
  • Your team can share any report for any of your clients, including making a link before you tell the client the report is ready.
  • Your client's own people can share their own published reports. Links they make are listed beside yours, marked with who made them, and you can switch any of them off.
  • Unpublishing a report pauses every link to it. Publish it again and the same links work again.

Branding

The report carries your agency's name, logo and colour, taken from your workspace branding, with your client's name and logo beside it. A shared link shows your branding whichever address it is opened on. If you have your own domain set up, links are made on that domain.

If your brand colour is pale, headings and links use a darker shade of the same colour so they stay readable. Bars and buttons use the colour exactly as you chose it.

  • Anyone on your team can share a published report, and anyone on your team can switch a link off.
  • If your plan's payment needs attention you can still switch links off, but you cannot make new ones until it is sorted.

The report carries your company name and logo, set in Your workspace settings.

If something goes wrong

Sharing and printing troubleshooting

"Publish this report first."

  • Why: the report is still a draft, and a link only opens a published report.
  • Fix: publish the report from the client's management page, then share it.
  • Fix: reports you generate publish straight away. If you see this, open the report from your reports list and try again.

"This report already has 20 working links."

  • Why: a report can have up to 20 links working at once.
  • Fix: switch off one you no longer need, then make a new one.

I closed the panel before copying the link.

  • Why: the address is shown once.
  • Fix: make another link. Switch off the one you could not copy if you would rather it did not exist.

The person I sent it to sees "This report link is no longer available".

  • Why: the link expired, was switched off, the report was unpublished, or part of the address was lost when it was copied.
  • Fix: open Share to check the link's status, then send a new link.

"Your browser would not copy it for you."

  • Why: the browser blocked copying.
  • Fix: the address is already selected. Press Ctrl+C (Cmd+C on a Mac).

The report opens with the written report but no figures or charts.

  • Why: it was generated before figures were added to reports, or the platforms it covers returned nothing for that period.
  • Fix: generate a new report. See Generating & reading reports.
